CLIO AREA LIBRARY BOARD MINUTES
MAY 14, 2003
The meeting was called to order at 5:30 p.m. by President Mike Zinn. Those present were Mike Zinn, Sue Thomas, Sandra Vuillemot, Carmon Fox, Sue Smith, Debora Turnbow, custodian Brian Vuillemot, library representative Pat Peterson, guests, Mary Keep the new librarian for the Clio Library and Ann Anderson representing the Senior Center. Sue Thomas was absent. M. Zinn introduced Sue Smith the new representative for the City of Clio and she was welcomed by everyone..
COMMUNICATIONS: The Michigan Municipal League sent a copy of their new by laws and they will be filed.
MINUTES: A motion made by D. Turnbow, seconded by C. Fox to approve the minutes of April 9, 2003. All yeas.
LIBRARIAN’S REPORT: P. Peterson introduced Mary Keep the new Clio Librarian. She is looking forward to her new job. There were no problems to report from the library.
BILLS: In explanation of the D & B Elevator bill M. Zinn told us it was an unpaid bill from 2001. The bill was sent to the wrong address and it was not sent again. Motion by C. Fox seconded by D. Turnbow to pay bills in the amount of $2,749.73. All yeas.
TREASURER’S REPORT: Motion by S. Vuillemot, seconded by C. Fox to approve the Treasurer’s Report of April30, 2003. All yeas.
CUSTODIAN’S REPORT: Energy audit by Consumers Energy took about 5 or 6 hours on April 11th. The fire department was called to the library to check out a report of smoke. After investigating they decided that the smoke was funneling upstairs through the open back door from the cigarette container. There was no fire, but the fire department was having problems entering the building. A key should be given to the fire department. Toilet tissue has been ordered and a new rake has been purchased. The girl scouts have cleaned the front flower bed and planted flowers. Our thanks go to them for making the library look inviting at the front door.
COMMITTEE REPORT: None
OLD BUSINESS: The question of the budget item for the elevator repairs was brought up by Vienna Township and they ask the library board members to sign a letter composed by M. Zinn. The letter of 5-14-2003 is as follows: At the Clio Area Library Board’s meeting of March 12th a resolution was introduced by Verlin Morningstar and seconded by Sue Thomas that “for the 2003/2004 budget period, the library board should no longer be responsible for the elevator repairs.” This motion was discussed and passed unanimously. In no way does this say that the board will no longer be responsible for the maintenance of the library building. This resolution speaks only to the maintenance of the elevator. All the board members present signed the letter. A revised budget was submitted which changed the portion of the budget due by each municipality. The full budget figurers remained the same. Motion by C. Fox, seconded by S. Smith to accept the revised budget. All yeas. We are still waiting for the cement pad to be installed near the front door so the bike rack can be put up front.
NEW BUSINESS: The library desk and the computer shelf in the back room need to have plastic mats put on the floor to protect the carpet. The computer chairs have no wheels and they are damaging the carpet. M. Zinn will check on prices. We also check with Arrow to see if we can get the carpets in the entrance halls in just the winter.
